Job Description

We are looking for a highly organized and detail-oriented Experienced Design and Construction Procurement Specialis t (specializing in corporate interiors) to join our team. This role is critical in supporting our client’s procurement processes, vendor management, and contract oversight for the build-out of their new Dallas, Texas headquarters. The ideal candidate will be experienced in developing procurement strategy documentation, managing bid processes, and coordinating closely with both internal and external stakeholders for this corporate office build-out project.

Key Responsibilities:

Procurement Documentation and Strategy:

  • Draft, review, and finalize procurement strategy memos to establish and document procurement goals and processes.

  • Prepare and issue Requests for Information (RFI), Requests for Qualification (RFQ), and Requests for Proposal (RFP) through the client’s Project Management Information System, ensuring precision and adherence to project requirements.

Vendor Interaction and Bid Management:

  • Engage with vendors throughout the bidding process, responding to queries prior to RFP release, during the bid period, and post-bid submission.

  • Analyze and evaluate bids for completeness, competitiveness, compliance, quality, cost-effectiveness, and alignment with Environmental, Social, and Governance (ESG) and diversity standards.

  • Collaborate closely with external project teams, including General Contractors, Architects, Engineers, and FF&E vendors, to coordinate project requirements and ensure efficient execution of procurement strategies.

Contract Preparation and Legal Coordination:

  • Prepare and issue purchase orders, letters of agreement, and contracts for selected vendors, and coordinate with legal counsel as needed to ensure compliance with company standards and project requirements.

Bidder Interaction and Post-Bid Evaluation:

  • Participate in calls with both successful and unsuccessful bidders to provide feedback, clarify project expectations, and negotiate contract terms.

  • Conduct post-bid evaluations to refine vendor selection processes and enhance procurement effectiveness.

Industry Knowledge and Pricing Trends:

  • Maintain a strong understanding of industry trends to ensure accurate pricing and effective vendor management.

  • Leverage market insights to optimize procurement strategies and support the organization’s cost-efficiency goals.

Qualifications

Minimum Qualifications

  • BA/BS + eight years of related experience or demonstrated equivalency of experience and/or education.

  • Experience with indirect spend with a preference in corporate services sourcing.

Preferred Qualifications:

  • Proven experience in procurement, with a strong understanding of procurement strategy, vendor management, and contract negotiation.

  • Excellent analytical skills for bid leveling and evaluation based on project and organizational standards.

  • Strong executive-level communication/presentation skills

  • Proficiency in Project Management Information Systems and experience with RFI/RFQ/RFP processes.

  • Knowledge of ESG and diversity standards in procurement is a plus.

  • Experience of Sourcing procure to pay tools (Ariba, Fieldglass, PMWeb).

Offered compensation will be based on location and individual qualifications. The expected range is $140,000.00 - $160,000.00.
