AECOM Marketing/Proposal Specialist I in Houston, Texas

Job Summary

AECOM is seeking a highly talented Marketing Proposal Specialist I to work in collaboration with the West Region business development and operations team on identified priority pursuits, including partnering in the preparation of formal and informal client solicitations, including expressions of interest (EOI), requests for qualifications (RFQ), requests for proposals (RFP), and pre-qualification efforts. This position can be based in Austin, Dallas or Houston, TX, Chicago, IL or Denver CO.

Responsibilities include, but are not limited to the following:

  • Under direct supervision, may complete assignments of limited complexity, requiring independent evaluation, selection, adaptation, and modification of standard techniques, procedures, and criteria.

  • Assists in proposal writing and presentations.

  • Displays knowledge and ability to apply marketing theory and practice in carrying out a variety of assignments.

  • Produces regularly scheduled reports from marketing database.

  • Is able to analyze and present data for purpose of evaluation.

  • Demonstrates the ability to organize, process, and present information, requiring good communication skills.

Other responsibilities include, but are not limited to the following:

  • Responsible for interfacing with operations to win work and to manage the information infrastructure that enables the business to do so efficiently.

  • Liaises with appropriate/relevant BL team, operations, technical, and business development professionals to support or develop marketing information (including but not limited to BL case studies/project sheets and capabilities summaries).

  • Provides support for small to medium proposals/LOIs/SOQs for private/public/Federal clients, including schedule, templates, and production, and demonstrates a clear understanding of compliance.

  • Able to develop compliance matrices and create reasonable, agreed-upon schedule for content development, production and delivery.

  • Participates in pre-RFP capture/ proposal planning, to develop gain institutional knowledge for creating win messaging and discriminators in deliverables.

  • Participates in pink and red team reviews to build institutional knowledge and may coordinate proposal review meetings and ensure compliance with client requirements.

  • Able to support Go/No Go and green light analysis conversations and maintain data system content as needed

  • Manages the implementation of proposal and presentation revisions based on direction from review teams.

  • May support capture teams with pre-RFP proposal planning and helps develop and apply the win plan, themes, and discriminators in marketing deliverables.

  • Contributes to and supports the writing and/or editing and/or formatting of resumes and past performance sections for proposals.

  • Reviews debriefs and client feedback on proposals to ensure and demonstrate continuous improvement.

  • Updates and maintains status of assigned pursuits in CRM.

  • Understand and follows company quality procedures and approval processes (legal, contracts, DOA, signatory) under supervision of others.

  • Supports special projects, as required.

  • Reports within a BL or specialist pursuit team and works under supervision of senior bid management specialist

  • Participates and organizes content for reviews (e.g. Pink and Red) and builds on institutional knowledge. Able to support comments and finalization of documents.

  • Participates in presentation preparation and planning to build on institutional knowledge of best practices

  • Able to communicate clearly with a team, coordinate kick-off, check in calls and manage comments and control agenda.

  • Able to coordinate with subcontractors and gather data required.

  • Able to access and use AECOM internal systems for collect data on people, projects or BL and market information, or for professional development.

Minimum Requirements

  • BA/BS, preferably in Marketing or Journalism, or a related field, and prior internship(s) experience collaborating within a marketing team supporting the development of proposal and presentation activity to assist a business line and/or special pursuit team with key client and strategic pursuits in support of strategic growth and winning work, or demonstrated equivalency of experience and/or education.

Preferred Qualifications

  • A minimum of two (2) years of experience supporting the development of proposal and presentation activity.

  • APMP/SMPS certification is a plus.

  • A basic knowledge of and interest in the A/E industry, including AECOM’s projects, people, credentials, and competitors.

  • A basic knowledge of marketing best practices and procedures, work processes, and tools. 

  • A basic understanding of effective proposal and presentation writing and production.

  • A developing working knowledge of word processing programs (e.g., Microsoft Word), spreadsheet management (Excel), and presentation software (e.g., PowerPoint), as well as desktop publishing software (e.g., Adobe Creative Suite), graphics programs (e.g., InDesign, Adobe Illustrator, Adobe Acrobat, Photoshop).

  • A basic knowledge of collaborative tools such as Microsoft Teams, SharePoint, etc.

  • A basic knowledge of CRM. Salesforce experience is a plus.

  • Developing initiative, skill, and personal commitment to work on multiple projects and details concurrently, follow up, and bring tasks and projects to full completion.

  • Ability to produce accurate, compliant, and compelling work independently and with others. 

  • Organizational and administrative skills, including the ability to complete varied work tasks on schedule, and support deliverable efforts by others.

  • Ability to exercise discretion with confidential/sensitive issues.
