Job Description

AECOM is seeking a Office Management Specialist for our Orlando, FL office. This person will provide staff extension support services for Procurement Department.

These services include but are not limited to the following:

  • Performing specialized and advanced administrative functions, and public meeting assignments

  • Maintaining records and minutes for Aviation Authority Sunshine Committees, such as the Procurement Committee

  • Ensuring compliance with Aviation Authority Policies and Procedures, and Florida State Statutes

  • Preparing and distributing agenda packages for Sunshine and non-Sunshine meetings

  • Posting of Sunshine Committee meetings

  • Attending Sunshine Committee meetings

  • Preparing Pre-Agenda’s

  • Attending Pre-Agenda meetings

  • Coordinating conference room and audio-visual equipment set-up prior to meetings

  • Preparing related committee minutes

  • Submitting all related updates to the Aviation Authority's website and SharePoint; and all other support related to the sunshine committee

  • Perform various data entry support into spreadsheets as directed

  • Maintaining current knowledge of Florida State Statutes and Aviation Authority Policies and Procedures, as they relate to Sunshine committees

  • Other duties as assigned

Additional duties may also include

  • Office assistant support,

  • Ensuring the office functions efficiently and smoothly.


Minimum Requirements

  • BA/BS + 4 years of related experience or demonstrated equivalency of experience and/or education

Preferred Requirements

Desired work experience includes public meetings; office manager and secretarial skills with an accounting firm, a law firm, design firm, construction company or airport office.

  • Candidates should have excellent interpersonal skills

  • Excellent organizational skills

  • Attention to detail

  • Excellent computer skills, specifically with Microsoft Outlook, Word and Excel, and Adobe Acrobat

  • Excellent skills in accurately recording meeting proceedings and transcribing meeting notes and recordings

  • Knowledge of construction, design and legal terms highly desirable.
