Job Description
AECOM is seeking a Program Manager – Document Control for one of our offices in Sacramento, CA.
JOB SUMMARY:
This role will manage the end-to-end document control lifecycle for a high-value, complex program. The Program Manager works closely with the client and internal teams to ensure all program-wide documentation is accurate, current, approved, securely stored, and accessible. This role requires deep expertise in client management, team management, metadata management to enable robust traceability, audit readiness, and compliance with internal standards and external regulatory requirements.
JOB RESPONSIBILITIES:
Maintain and enforce document control processes from document creation to final archiving .
Coordinate with the client, senior leadership, technical teams, contractors, and other stakeholders to ensure timely document submission, review, approval, distribution , and revision control .
Provide oversight of incoming and outgoing documentation, ensuring all records are assigned correct metadata, versioning, and status.
Ensure the team is setup to apply and validate metadata against program standards (e.g., Document Numbering, Revision History, Status, Classification, etc.).
Mange the metadata quality across the program's document repository to support accurate searching, filtering, and reporting.
Ensure the program is setup for compliance with controlled metadata fields
Manage a team that monitors program documentation within a Document Management System (DMS) such as Aconex, SharePoint, TeamBinder, or similar.
Ensure documents meet internal standards, regulatory, and contractual obligations (e.g., ISO 9001, project specs).
Ensure best practices are applied for preparation and maintenance of document registers, metadata reports, and compliance logs.
Support internal and external audits by providing accurate metadata logs, version history, and controlled copies.
Liaise with project managers, engineers, QA teams, and external contractors to align document workflows and metadata practices.
Provide guidance and training to staff on document control processes and metadata standards.
Qualifications
MINIMUM REQUIREMENTS:
- Bachelors degree plus 8 years of related experience, or demonstrated equivalency of experience and/or education
PREFERRED QUALIFICATIONS:
12 + years Document control experience on major infrastructure, construction, or engineering programs.
Demonstrated expertise managing full document lifecycle and metadata control across a high-volume document environment.
Strong working knowledge of DMS platforms (e.g., Aconex, Asite, SharePoint, or similar).
Familiarity with ISO standards and compliance frameworks.
Exceptional attention to detail, particularly in metadata entry and validation.
Strong communication and coordination skills across technical and administrative teams.
Ability to work under pressure and meet tight deadlines across multiple stakeholders.
Additional Information
Travel may be required for this role.
Sponsorship is provided for this role.
Offered compensation will be based on location and individual qualifications. The expected range is $140,000.00 - $200,000.00.
