Job Summary

AECOM is seeking an Administrative Assistant V to be based in San Diego, California.

DUTIES AND RESPONSIBILITIES:

  • Provides general administrative support to the ADC Safety and Labor Compliance Group.

  • Office support

  • Process Incoming and Outgoing Mail

  • Answer phones

  • Photocopying

  • Miscellaneous Word Processing

  • Office filing

  • Meetings

  • Prepare Agendas

  • Prepare Meeting Minutes

  • Print Logs

  • Prepare folders for office files

  • Distribute Meeting Minutes by email or project management system

Other duties may include:

  • Performs necessary field inspections to monitor, evaluate, and document safety issues relating to construction projects and processes.

  • Prepares daily inspection reports and periodic progress reports on corrective measures undertaken by contractors when safety deficiencies are noted.

  • Type and format correspondence and documents into final draft

  • Copy/edit electronically prepared correspondence and documents.

  • Prepare and send packages for staff

  • Act as back up for receptionist or other administrative staff

  • File documents as needed

  • Schedule and prepare conference room(s)

  • Assist with simple spreadsheets

  • Maintain and update electronic forms

  • Maintain inventory of office products

  • Order office supplies as needed

  • Performs other tasks as needed

Minimum Requirements

  • High School diploma or GED plus eight (8) years of administrative experience or demonstrated equivalency of experience and/or education

Preferred Qualifications

  • High school diploma or equivalent, plus 3+ years of directly related experience.

  • 2+ years of directly related construction or safety experience (prefer Safety experience)

  • OSHA 10 or 30-hour construction course (Preferred)

  • Must pass drug test and background checks for airport badging.

  • A valid Class C driver’s license and the ability to maintain eligibility under the Authority’s Authorized Drivers Program.

  • Capable of exercising judgment and taking initiative.

  • Thorough familiarity with MS office suite software, including Word, Excel, PowerPoint, etc.

  • Working knowledge of Bluebeam is highly desirable

  • Experience with Project Management Systems, such as PMWeb, is desirable

  • Ability to work cooperatively with others

  • Strong interpersonal skills

  • Good verbal and written communication skills

  • Strong organizational skills

Additional Information:

  • This position does not include sponsorship for United States work authorization.

  • Relocation assistance is not provided for this role.

  • The selected candidate will be subject to a pre-employment Motor Vehicle Registration Screening (MVR).
