Job Summary

AECOM is seeking a Maintenance Planner / Scheduler to support our team of highly skilled multi-craft technicians at a major pharmaceutical facility in the Greater St. Louis area.

This position’s primary function is to plan and schedule preventive and corrective maintenance tasks for a team of facility maintenance technicians. The Planner / Scheduler acts as liaison between AECOM staff, subcontractors and clients for the planning and scheduling of maintenance work orders. In addition, this position will work with technical leads and technicians to prioritize and plan work according to facility requirements.

Experience working with a CMMS is required , as is the ability to create spreadsheets and power point presentations and the ability to create and present planning / scheduling metrics to management staff. Successful candidates demonstrate the ability to work with limited supervision in a fast-paced industrial, large commercial or logistics environment.

Essential Functions:

  • Distribute Preventive Maintenance and Demand Work Orders in the form of a weekly schedule and assist Supervisor and/or Leads with job coordination.

  • Collaborate with Technical leads and technicians to properly plan work orders including material management, task estimating for budgetary approval and customer communication.

  • Utilize CMMS to record work order classification, priority, activities and trade.

  • Analyze and report data on Demand and PM Work Orders such as: overdue, backlog, received/ completed statistics and additional reports as requested for monthly reporting to Program Manager and Supervisor

  • Work with the Supervisor, Leads, Technicians and Procurement to ensure accurate and timely communication with the requestor(s) regarding status of work orders such as: awaiting parts, on hold, or that have been rescheduled

  • Work with contract administrator ensures timely and accurate vendor support.

  • Provide recommendations with regards to facilities equipment and utility systems maintenance programs.

  • Comply with established safety and environmental procedures

  • Adjust to changing conditions and occasionally work second shift, holidays, and weekends as required

  • Perform under minimal supervision and exercise independent judgment in problem resolution

  • Communicate facilities requirements to team leads.

  • Comply with and enforce AECOM and company policies and safety practices, procedures and guidelines such as job hazard analysis, lockout/tagout, and the use of PPE.

  • Comply with Good Manufacturing Practices (GMP) and Good Laboratory Practices (GLP).

  • Respond to emergency calls (by phone or in person) during off-hours and determine resources needed to mitigate problem (AECOM or subcontractor)

  • Perform other duties as assigned by the AECOM Program Manager.

Minimum Requirements

  1. Bachelor's degree in facility management, business administration, engineering , or related technical field, or demonstrated equivalent combination of education and experience -OR- 8 years of experience in industrial Facilities Maintenance related work will be considered demonstrated equivalent in experience with no college education.

  2. In addition to education/equivalent, 2 years of planning experience in the field of facility maintenance.

  3. Proficiency in a CMMS.

Physical Requirements:

  • Requires ability to read and understand information contained in a variety of documents or displayed on a computer screen.

  • Requires ability to use a variety of office equipment and to operate a computer keyboard to access data bases, to send/receive messages and to prepare documents.

  • Requires ability to attend meetings throughout the site and potentially travel to other AECOM, customer and/or vendor locations in the area, as well as some air travel to more distant locations.

  • Requires the ability to communicate with others on the telephone and in one-on-one or group discussions, meetings and presentations.

  • Demonstrated fluency in computer use including the full Microsoft product line.

  • Requires the ability to walk extensively throughout diverse work environments as required by business demand.

  • Some tasks will require repetitive wrist movements.

  • Requires some moving of light to medium weight materials into desks, filing cabinets and other storage locations.

  • Requires the ability to interact with all clients in a professional and friendly manner despite periods of stress.

Special Requirements:

  • Wear steel toe safety shoes, safety glasses, gloves, hard hats and other Personal Protective Equipment as needed.

  • Cope with demands (stressors) that are associated with the job and/or the work environment so that acceptable levels of performance and overall contribution are maintained.

Preferred Qualifications

  1. Certificate or formal training from Facility Maintenance Organizations such as IFMA, AFE or BOMA.

  2. Strong mechanical/electrical aptitude with an understanding of critical systems supporting the pharmaceutical industry, such as HVAC, chillers, electrical components, and plumbing.

  3. Experience working with a building management monitoring system.

  4. Experience in employee and subcontracted work coordination in a predictive and reliability-based facility maintenance program.

  5. Ability to read and interpret blue prints, schematics and one-line drawings.

  6. Journey level license in HVAC, Electrical or plumbing.

  7. Proficient with MS Office Suite (Outlook, Word, Excel and Access).

  8. Experience in new business start-ups.

  • Must be willing to work overtime when required. May be required to work holidays and weekends.
