Job Description
AECOM is seeking a Administrative Assistant to be based in Waterloo, IA.
The responsibilities of this position include, but are not limited to:
Provides administrative support to one or more managers within a group, office or business unit including some of or all of the following: prepares or proofs correspondence, forms, spreadsheets, or documents, schedules meetings, makes travel arrangements, and/or maintains inventory of office supplies.
Familiar with standard concepts, practices, and procedures within technical writing, communications, or marketing fields.
Relies on experience and judgment to plan and accomplish goals.
Uses Word, Excel, PowerPoint, Outlook, Bluebeam and other programs to accomplish work.
Works under general supervision and self-motivated.
Prepares proposals and business development documents with information provided by technical staff. This includes clerical, formatting and presentation type graphics development. Excellent written and verbal communication skills.
Prepares Project Specifications and Reports with technical information provided by technical staff. This includes posting projects to online bidding services.
Receptionist for office including answering phone, checking visitors in the office and posting office calendar.
Completes both electronic and hard copy office filing for correspondence and design plans.
Assists Administrative Staff and Office Manager with additional tasks as needed
Qualifications
Minimum Requirements:
HS + 2 Years of Relevant Experience or demonstrated equivalency of experience and/or education.
Proficient in Microsoft Professional Office Suite including: Word, Excel, PowerPoint, Access
Valid Drivers License
Preferred Requirements:
Working knowledge of office equipment (such as phones, printers, and scanners)
Proven experience as an administrative assistant
Knowledge of office management and procedures
Excellent time management skills and the ability to prioritize work
Attention to detail and problem-solving skills
Work experience in engineering, construction, transportation industries preferred.
Working knowledge InDesign Software a plus!
